Responsibilities

Reporting to the Deputy Head of Event Management you will be solely responsible for all logistics and operations of the 7-8 annual overseas and London-based events allocated to you including but not limited to:

  • Pre-event correspondence with delegates, speakers and sponsors
  • Managing outgoing expenditure and submitting accurate forecasts
  • Negotiating, liaising and managing relationships with event venues and suppliers
  • Creating and designing event collateral, signage and exhibition floor plans
  • Sourcing branded items – gifts, lanyards, sponsorship inventory etc
  • Managing dinners, cocktail receptions and bespoke networking events
  • Organising staff travel and accommodation
  • Travelling to both overseas and London based events
  • Managing onsite event teams and event registration
  • Providing an exceptionally high level of customer service in all interactions and exceeding clients’ expectations

 

You will also contribute to the team through:

  • Creativity in sourcing new and innovative sponsorship inventory, delegate gifts and networking events.
  • Flexibility to react to business needs e.g. travel at short notice

Qualities and Characteristics:

  • Ability to use initiative multi-task under pressure whilst maintaining accuracy and efficiency
  • Ability to establish sustainable and profitable relationships with customers, suppliers & clients
  • Good at working with and motivating colleagues on an individual and team level
  • Proficient at cost management and forecasting

 

Experience and Skills:

  • Experience in the coordination of b2b events for at least 150 people
  • Experience in managing exhibitions
  • Good Excel/Word/PowerPoint skills
  • Fluent in written and spoken English
  • Outstanding customer service and communication skills
  • Strong negotiation skills
  • Excellent time management skills
