Head of WBR Connect Operations

WBR Connect offers a white glove, personalized and interactive experience for 80 to 150 senior buy side executives (depending on the event) at luxury 5-star resort venues and between 15 -35 sponsors at each event.
Focused on bringing together the most senior-level executives by invite-only, WBR Connect allows attendees to share peer-to-peer experiences as well as learn from hand selected technology providers.
We only invite executives who are in an assessment and buying mode and pair them with the correct solution-providers for 1-to-1 meetings.
In an event with no expo, each delegate has a personalized agenda tailored to meet their networking, content and buying needs!

Reporting to the Head of Event Management you will be solely responsible for the venue sourcing and logistics of the WBR Connect portfolio of events.

Responsibilities

  • Event schedule creation
  • Venue sourcing, contracting and liaison
  • Line manage Meetings Coordinator (to include weekly catch ups)
  • Main point of contact for all clients/speakers, providing an exceptionally high level of customer service
  • Consistent management of event forecasts, actualises venue and supplier bills.
  • Makes intelligent investment decisions
  • Negotiates with suppliers
  • Makes catering arrangements
  • Coordinates implementation of mobile app
  • Setup and management of 121 partnering site
  • Signage and programme design
  • Sourcing branded items – signage, gifts, lanyards, sponsored items etc.
  • Collection of speaker presentations
  • Creation of bespoke sponsorship inventory
  • AV contracting
  • Exudes excellent time management & multitasking skills
  • Meeting zone floor plan: design, layout and allocation
  • Exhibition contractor liaison (meeting pod furniture, etc)
  • Creation of sponsor guide
  • Managing WBR team onsite
  • Running registration desk
  • Displays broad focus of their events.
  • Stage Management
  • Monitoring bedroom allocation
  • Venue searches for gala dinners, cocktail parties
  • Pre-event correspondence with attendees, speakers and sponsors
  • Booking staff travel and accommodation
  • Innovation – generating ‘wow factor’ ideas
  • Coordination and management of pre-event meetings with event team
  • Attends weekly event meetings
  • Actively motivates team pre-event & onsite.
  • Adding value to all WBR’s blockbuster events
  • Help mentor new starters/junior team members
  • Actively suggesting improvements to current processes
